PRIVACY POLICY

01WHAT WE COLLECT

Account information — name, username, email address, and a securely hashed version of your password. We never store your password in readable form.

Film and related content — the game film you upload, along with the grades, clips, corrections, notes, and reports generated from it.

Team information — the organization, team, or section you belong to and your role in it (athlete, coach, or administrator).

Payment information — handled by Stripe. We receive a subscription status and limited billing details; we do not receive or store your full card number.

Technical and security records — sign-in events, IP address in hashed form, browser user agent, and audit records of security-relevant actions.

02HOW WE USE IT

To operate the service: store your film, run the analysis you request, produce grades and reports, and show them to you and the people you have shared them with.

To handle billing, support requests, and account notices such as password resets and security alerts.

To keep the service secure — detecting abuse, investigating incidents, and enforcing our terms.

We do not sell your personal information, and we do not use athlete film to advertise to you.

03WHO ELSE PROCESSES YOUR DATA

ScoutIQ relies on a small number of service providers who process data on our behalf, under contract, only to deliver the service:

Artificial intelligence providers — film frames and related context are sent to third-party AI model providers to generate grades and analysis. This is core to how the product works. Do not upload film you are not comfortable having processed this way.

Cloudflare R2 for encrypted film storage · Supabase for the application database · Railway for application hosting · Stripe for payments · our email provider for account and security messages.

We may also disclose information if we are legally required to, or where it is necessary to protect someone's safety or our legal rights.

04ATHLETES UNDER 18

ScoutIQ is built for high-school football, so many of the people appearing in film are minors.

Accounts require a minimum age of 13. If you are under 18, a parent or legal guardian must agree to our terms and is responsible for the account.

We do not knowingly collect personal information directly from children under 13. If we learn we have, we delete it.

A parent or guardian may request to review, correct, or delete their athlete's information by contacting us at the address below. Coaches and programs uploading film of minors are responsible for having the necessary permission to do so.

05WHO CAN SEE YOUR FILM

Film and grades are private by default. Athletes see their own work. Coaches and administrators see the athletes on the roster they are responsible for.

Nothing is made public unless you deliberately share it, for example by sending a recruiting profile link.

Film is stored in private cloud storage and served through short-lived signed links rather than being openly accessible on the internet.

06KEEPING IT AND DELETING IT

We keep your information while your account is active and for as long as we need it to provide the service, resolve disputes, and meet legal and accounting obligations.

You can delete individual film and content from within the product at any time. Deleted content may persist briefly in routine encrypted backups before being overwritten.

To request access to your information, a correction, or full deletion of your account and its contents, email us at the address below. We will verify the request and respond within a reasonable period.

07HOW WE PROTECT IT

Passwords are hashed, session tokens are stored hashed, film sits in private storage behind expiring signed links, and traffic is encrypted in transit.

Security-relevant events are recorded to an audit log, and high-severity events raise an alert.

No system is perfectly secure. If a breach affects your information, we will notify you as required by law. To report a vulnerability, see our security page.

08CHANGES AND CONTACT

If we make a material change to this policy, we will give notice through the service or by email before it takes effect.
